The Museum is open Wed–Mon, 10:00 AM–5:00 PM. Masks required indoors. The Sea Center is closed for renovations through spring 2022.

Payroll & HR Specialist

Position Summary: Under the direction of the HR Manager process payroll and support human resource administration.


  • Prepare semi-monthly payroll for all employees, manual checks, the related and keep regular communication with payroll service’s Account Manager. Coordinate year end processing including W2s, 1095, etc. Accurately enter new hires and changes into the payroll system. Investigate discrepancies related to payroll, benefits, 403b plan etc. Maintain all payroll records and produce management reports as necessary.
  • Assist in the implementation and maintenance of changes in the Payroll/HR information system, including analysis and defining of requirements, communications to employees, and careful tracking of system integration and processing.
  • Assist in schedule open enrollment meetings for benefits and update changes with carriers and in HRIS; provide general benefits administration support; Review and process carrier bills and submit to HR Manager; support ACA tracking and reporting and notify HR Manager of related changes.
  • May support the recruiting process involving, screening candidates,  job posting,  Administer criminal background searches; may prepare offer letters, meet with new employees to complete all required paperwork and review important policies (part of the new employee orientation process); and set up and maintain employee files and other related employment files
  • Oversee and create employee, volunteer and docent name badges; Coordinate  chair massage schedule; Provide employees’ support with Museum forms, Intranet, benefits and other HR related info
  • Assist in addressing unemployment claims and reporting, verification of employment, Workers Compensation claims, scheduling CPR training, flu shots and mandatory harassment training. 
  • Keep current on Federal and State wage and hour laws
  • Assist in developing procedures and appropriate forms for personnel related practices; Update, post & maintain current documents for inter-museum use and Museum website.
  • Responsible for completing other human resources related projects and other duties as assigned

Essential Requirements:

  • Minimum 3 years’ experience working in Human Resources and Payroll required,
  • College degree or HR certification preferred. 
  • Strong organization, accuracy and attention to detail, working knowledge and understanding payroll and CA wage and hour laws are essential.
  • Excellent verbal, written, analytical and problem solving skills
  • Strong interpersonal skills and willingness to interact with staff; Ability to communicate comfortably and effectively within all levels of the organization; Team player with a positive attitude

  • Good MS Excel, Outlook and Word skills
  • Ability to work occasional overtime hours (and occasional weekend hours)

Work Environment:

  • General office environment with occasional work throughout the Museum’s facilities (Sea Center, galleries, conference rooms, and exhibit halls) and outdoors
  • Significant telephone and computer work (repetitive movement – typing)
  • Frequent sitting, standing, walking, climbing stairs and bending with occasional lifting of light loads (25 lbs.)
  • Prolonged periods of sitting at a desk and working on a computer.
